Registration Information

How to Register:

Pre-registration via the website will be possible until 15 March 2017. After this date only on-site registration will be accepted. It is essential that the instructions for payment of all fees are strictly followed. Every participant, including invited speakers, delegates and accompanying persons, must register to attend the Congress.

Payment:

Registration fees are to be paid in South African Rands (ZAR), and should be paid according to the procedure described on the registration form. When processing your payment by bank draft please allow additional funds to cover bank charges. If short payments are received, they will be for your account.

Different fees apply according to your career stage, please also note that a day delegate is only entitled to attend the congress sessions, exhibition, get tea, coffee and lunch and a programme book for the selected date of registration:

Consultants - Consultants, GPs, SAS Doctors

Trainees - All trainees - To qualify for the Trainee rate, you must send documentary proof that you are a trainee at a recognised educational institution and this must accompany your registration form. For UK based trainees, please can you supply us with your National Training Number (NTN) as proof of trainee status.

Allied Health Professional - Midwives, nurses, sonographers , physiotherapists

Low Resource Countries - Anyone who is practicing in one of the countries included in the eligible countries list.

Medical Student - Anyone who is studying for an undergraduate medical degree. Your registration must be accompanied by a letter from your head of department or supervisor confirming your eligibility - Registration for non-UK trainees must be accompanied by a letter from head of department or supervisor confirming eligibility.

Pre-Congress Workshops:

RCOG 2017 will run a host of various pre-congress workshops on Sunday 19 March 2017. There will be both half day and full day workshops on offer. Pre-congress workshops are not included in the registration fee. Anyone who is not an obstetrician or gynaecologist - trainee or consultant, can attend any workshop for the published price and not have to register for the congress.

What is included in the registration?

Congress Full Registration includes: Access to all Congress sessions, Access to exhibition and poster area, Congress kit, Coffee breaks, Lunches.
Trainees: To qualify for the Trainee rate, you must send documentary proof that you are a trainee at a recognised educational institution and this must accompany your registration form. For UK based trainees, please can you supply us with your National Training Number (NTN) as proof of trainee status.
ISUOG Membership: As the Congress this year incorporates the ISUOG 13th International Symposium, a year's worth of ISUOG core membership is included in the Congress fee for any delegate who would like to become a member of ISUOG. More information can be found here: http://www.isuog.org/Membership/. To opt into ISUOG core membership, please tick the box below during the registration process. Please note that if you opt into this, you consent to having your contact details passed to ISUOG.

Payment

Registration fees are to be paid in South African Rands (ZAR), and should be paid according to the procedure described on the registration form included in this announcement. Payment can also be made on-line when you register for the Congress on the website: www.rcog2017.com. Payment can be made by MasterCard, Visa, American Express or Diners Card or by bank transfer.

Terms and Conditions

Cancellation of Registration and Refund Policy

The Congress Secretariat must be notified in writing of any cancellations. It is the responsibility of the delegate to ensure that the Congress Secretariat (leannea@turnersconferences.co.za) has received the written cancellation. All approved refunds will be issued after the Congress. Refunds will be done after the Congress at the following rates:
On or before the 6 February 2017-Full refund minus 25 % cancellation fee.
After 6 February 2017- We regret that no refund can be made after this time, although name substitutions can be made at any time up to the day prior to the event ( Sunday 19 March 2017)
No refunds will be given for non-attendance.
In the unlikely event the Congress is cancelled by the RCOG, we regret we are unable to refund any delegate travel/ and or accommodation costs that have already been incurred by the delegate, or any administration charges relating to cancellation of travel tickets or accommodation.

Cancellation of Social Event Tickets:

Cancelled social tickets will be refunded after the congress provided that written notice of cancellation is received by the Congress Secretariat at (leannea@turnersconferences.co.za) by Monday 13 March 2017. No refunds will be made for cancellations after this date, although name substitutions will be accepted at any time.

Accommodation Cancellation Policy:

You may cancel your reservation up to the 19th January 2017 with a full refund less an administration fee of ZAR 228.00.

Reservations cancelled after the 19th January 2017 will attract the following cancellation penalties:

  1. 59 - 31 Days - 50% cancellation fees apply
  2. 30 - 0 Days - 100 % cancellation fees apply
An amendment fee of ZAR 228.00 applies to all changes made to confirmed reservations. Should you reduce the length of your stay upon arrival at the hotel; the hotel will change cancellation fees for the nights that you will no longer be using.

For group reservations terms and conditions, these will be outlined in group contracts.

Excursion Cancellation Policy:

All tours are subject to Turners and their appointed tour operators' terms and conditions. Once confirmed, tours will be subject to a cancellation fee if cancelled before 14 December 2016. No refunds will be made for cancellations received after 20 January 2017.

Cancellation fees: Refunds will be permitted for bookings cancelled within the following time periods, prior to departure:

More than 90 Days: Full refund less R228.00 administration fee per tour
90 Days & 60 Days: Full tour price less 20%
60 Days & 30 Days: Full tour price less 50%
30 Days & 0 Days: No refund

An amendment fee of R228.00 applies to all changes made to confirmed reservations. The above conditions apply unless otherwise specified in writing.
